IC21: Mail Server
1. What is the purpose of the mail server?
All communication with the customer is sent to the mail server. This allows
a consistent
and efficient way of handling the communication.
2. What types of mails are covered by this arrangement?
The mail to the customer comprise of:
* letters
* e-mails
* SMS message
* documents
Each mail is identified by the customer ID, date, type and content.
3. How are the mail sent to the customer?
We will record a preference from the customer as follows:
* send by e-mail
* send by ordinary mail
* keep on the server
This preference applies to all messages (except SMS)
SMS messages are sent to the mobliephone. If not available, it is
sent through a telephone call.
4. How is this better than the usual arrangement?
E-mails is virtually free. A document can be stored in a PDF file
and sent by e-mail.
Mails left on the server can be retrieved by the customer who logs into
the server with an ID and password. The customer can keep the mail on
the server or print it from his home.
The customer can also visit a branch or agent and request for all the
mails to be printed at that time. This saves on printing of envelopes
and postage costs. It is more convenient for the customer to receive
all the mail at one time.
5. Does the customer gets an incentive for the saving of postage?
This can be worked out with the customer.
6. Does the customer get a reminder for mails left on the server?
A reminder will be sent to the customer daily (for new mail) and
weekly (for mails that are not retrieved)
7. Can the customer receive business mail from third parties through this
gateway?
This can be arranged at a future date.
